No-code AI automation is the great equaliser for small businesses

The two most popular platforms are:
- Make (formerly Integromat) — a visual workflow builder that's powerful and flexible. You create “scenarios” by connecting modules on a canvas. It's our go-to recommendation for most business automations.
- Zapier — the simplest option, perfect for straightforward automations. You create “Zaps” by choosing a trigger app and an action app. Great for beginners.
Both platforms now integrate directly with AI models (like ChatGPT and Claude), which means you can add AI-powered steps to any workflow. That's where the magic happens.
How a no-code AI automation actually works
Let's walk through a real example. Say you want to automate lead qualification from your website contact form. Here's what the workflow looks like:
- Trigger:Someone submits your contact form. The no-code platform detects this automatically (it connects to your form tool — Typeform, Google Forms, your website's built-in form, whatever you use).
- AI step:The form data gets sent to an AI model with a prompt you've written. Something like: “Read this enquiry. Score it 1–10 based on urgency and budget. Summarise the request in two sentences. Suggest a response.”
- Conditional routing: If the score is 7 or above, send an instant personalised email to the lead and notify your sales team via Slack or WhatsApp. If the score is below 7, add them to a nurture email sequence.
- Logging:All data — the original submission, AI analysis, and actions taken — gets logged in a Google Sheet or your CRM.
That entire workflow runs automatically, 24/7. No developer. No server. No maintenance. And it typically costs under €30 per month.
Step-by-step: building your first automation
Here's the process we teach in our hands-on AI automation courses:
- Identify the task. Pick one repetitive workflow. The 5 easiest tasks to automate with AI is a good starting point.
- Map the steps.Write down every step involved, from trigger to outcome. This doesn't need to be fancy — a list on paper works fine.
- Choose your platform. For most people, we recommend Make. It has a generous free tier (1,000 operations per month), a visual interface, and excellent AI integrations.
- Connect your apps. In Make, you search for the app you want to connect (Gmail, Google Sheets, Slack, your CRM) and authenticate it. This usually takes about 30 seconds per app.
- Add the AI step.Insert an AI module (OpenAI, Anthropic, or others) and write your prompt. Tell the AI exactly what you want it to do with the incoming data. Be specific: “You are a customer service assistant for a Malta-based accounting firm. Read this email and categorise it as: billing query, tax question, document request, or other.”
- Test with real data.Run the workflow with a real example. Check the output. Refine your prompt if needed (this is usually the part that takes the most iteration — but it's still just typing, not coding).
- Turn it on. Activate the scenario and let it run. Monitor the first few days to make sure everything flows correctly, then let it work in the background.
Common concerns (and why they shouldn't stop you)
“What if I break something?”— No-code platforms have undo buttons, version history, and test modes. You can't accidentally delete your email inbox or crash your website. The worst that happens is your automation doesn't trigger, and you fix it.
“Is my data safe?”— Both Make and Zapier are GDPR-compliant and use encryption. Your data passes through their servers momentarily during processing but isn't stored. For sensitive industries (legal, finance), you can add extra safeguards like data masking.
“What if AI gets it wrong?”— Start with a “human in the loop” approach. Instead of having AI send emails directly, have it draft emails for your review. Once you trust the output (usually after a week or two), you can remove the review step for routine items.
“How much does it cost?” — Make's free tier handles 1,000 operations per month, which is enough for many small businesses. Paid plans start around €9/month.
