Let's fix that. Here's a practical framework you can use today to figure out whether AI automation makes financial sense for your specific business. We'll use real numbers relevant to Malta's market.
The basic ROI formula
At its simplest, automation ROI comes down to three numbers:
- Cost of the automation — tools, setup time, and ongoing fees.
- Value of time saved — hours recovered multiplied by the cost of those hours.
- Additional value created — faster response times, fewer errors, better customer experience, or revenue you wouldn't have captured otherwise.
ROI = (Value gained − Cost) ÷ Cost × 100
Most Malta business owners we work with in our hands-on courses see ROI of 500% or more within the first month. That sounds dramatic, but the maths is simple when you see it.
Step 1: Calculate the cost of the task today
Pick a specific task you're considering automating. (If you're not sure which task, our list of the 5 easiest tasks to automate is a good starting point.)
Now answer these questions:
- How many hours per week does this task take? (Be honest. Track it for a week if you're not sure.)
- Who does it? Is it you (the business owner), a senior employee, or a junior team member?
- What's their effective hourly rate? For employees, include salary, social insurance, and overheads. For yourself, use the rate you charge clients — or the rate you should be earning.
Example:You spend 6 hours per week triaging emails and drafting replies. Your effective hourly rate as a business owner in Malta is about €40/hour. That's €240 per week, or roughly €1,040 per month of your time on one task.
Step 2: Calculate the cost of the automation
Most no-code AI automations have three cost components:
- Platform subscription — Make starts at €9/month. Zapier starts at about €19/month. Many have free tiers that work for low-volume use.
- AI API costs — the cost of the AI processing itself. For most small business workloads, this runs €5–20/month. High-volume use (processing hundreds of documents) might reach €50/month.

Step 3: Run the numbers
Using our email triage example:
- Monthly cost of the task today: €1,040
- Time saved with automation: Let's be conservative and say 70% (you still review AI drafts). That's about 4.2 hours per week, or €728 per month in recovered time.
- Monthly cost of automation: €19
- First-month ROI: (€728 − €139) ÷ €139 × 100 = 424%
- Ongoing monthly ROI: (€728 − €19) ÷ €19 × 100 = 3,726%
Even if your numbers are half of these — fewer hours saved, lower hourly rate — the ROI is still overwhelming. This is why AI automation adoption is accelerating so quickly. The maths just works.
Step 4: Account for the hidden value
The time-saving calculation above is the easy part. But some of the biggest value from AI automation doesn't show up in a simple hours-saved formula:
