An AI readiness business checklist you can actually use

1. Do You Have Repeatable Processes?
AI automation works best on tasks that follow predictable patterns. Think about the work your team does every day:
- Do you have documented procedures for common tasks? (Even informal ones count.)
- Could you explain the steps to a new employee in under 10 minutes?
- Are there tasks that feel like “copy and paste” work?
If you answered yes to any of these, you have automation candidates. Common examples include data entry, email responses, report generation, appointment scheduling, and invoice processing. The more repeatable the process, the easier it is to automate.
2. Is Your Data Accessible?
AI needs data to work with. That doesn't mean you need a data warehouse or a fancy analytics platform. It means:
- Your business information is digital — if your records are on paper, step one is digitising them. This is easier than you think, especially with AI-powered scanning tools.
- Your tools are connected (or can be) — do your email, CRM, accounting software, and calendar talk to each other? If not, no-code platforms can bridge the gaps.
- You know where your data lives — can you point to the spreadsheet, database, or system that holds your customer list, financial records, or project details?
You don't need perfect data. You need accessible data. If it's scattered across personal email inboxes and sticky notes, that's something to fix before you automate.
3. Do You Have Clear Pain Points?
The best AI projects solve real problems. Ask yourself and your team:
- What tasks do people complain about the most?
- Where do errors happen most frequently?
- What work gets delayed because someone is too busy with admin?
- Which processes would break if a key person went on holiday?

4. Is Your Team Open to Change?
Technology is the easy part. People are harder. Before you introduce AI automation, gauge your team's readiness:
- Are they frustrated with repetitive work? If so, they'll likely welcome automation as a relief, not a threat.
- Do they understand what AI will (and won't) do? The biggest fear is job replacement. Be clear: AI handles the boring tasks so your team can focus on the work that actually needs a human brain.
- Is there at least one champion? You need someone — even if it's you — who's excited to learn and lead the adoption.

5. Do You Have a Budget (Even a Small One)?
